Changing Citation / Reference as 'Cite as you type'

I am on a Mac, I use MS Word and 'Add Ins' insert citation to insert a reference into the article. The currently style is (Name, Year) and the references list is alphabetical in order. The journal I want to submit to uses numbered references in the order they appear in the article and this includes references which appear in figure/table titles. This means I need to re-reference the article. How do I change the system to insert numbers rather than Author, Year and then sort the references table to be numerical and not alphabetical?
